There are several milestone events within the process to secure office space. As Tenant Representative, Ms. Cox will provide the following services in the leasing process:
- Conduct Needs Analysis – identify space needs based on operational requirements. This phase includes the interview of business and financial leaders in order to align real estate space needs with business strategy based on size of company and future growth. The requirements are identified, including size of space, budgetary parameters, preferred locations, and amenities.
- Perform Market Survey – Once the requirements are identified, a market survey to outline potential locations is conducted. The survey is presented to the client to create a “short list” of sites to tour.
- Tour – The tenant representative presents the viable alternatives to the client via a tour of locations. Through the course of the tour, the tenant is able to determine the space or spaces that best suit their requirements.
- Identification of space – Based on test fit, location, business terms, the tenant identifies the space or spaces in which to obtain a Request for Proposal (RFP) from the building owner. Through the tour process, there may be one space in which to request an RFP or multiple locations in order to rate the alternatives by financial and operational terms.
- Letters of Intent – Once the space has been identified via the RFP process, the tenant rep on behalf of the user will receive and negotiate the business terms within the Letter of Intent.
- Lease Documentation – The tenant’s legal counsel, supported by the tenant rep, will negotiate the legal intent of the documents for execution by senior management.
- Construction Management – Simultaneously, the tenant rep will coordinate, through the services of property or project manager, the construction of the tenant improvements within the space. Tasks within this phase include, final space planning, outlining specifications, bidding to general contractors, establishment of timelines and budget, oversight of contractors for completion of build-out. The tenant rep may additionally provide oversight in the move process.
